A fantastic opportunity has arisen to join our Administration team and support the firm with a variety of facilities and office service duties.

Reporting directly to the Facilities and Office Services Manager and working closely with the Administration team, this role will suit a proactive individual who is keen to utilise and improve their business administration skills.

You would be responsible for your own day-to-day tasks, whilst also supporting our legal teams as and when required.

Your role would include:

Office services management

  • Sorting and distributing external and internal post, operating the franking machine and preparing evening post ready for collection.
  • Assisting fee-earning departments with tasks where required, such as opening and closing files, filing, photocopying and scanning.
  • Answering internal telephone calls and receiving faxes for the administration team.
  • Ordering and managing stationery, refreshments and cleaning product stock levels.
  • Monitoring the internal tuck shop stock levels and replenishing when required.
  • Reviewing the tuck shop ‘IOU’ list and ensuring that payments are made in a timely manner.
  • Receiving deliveries and distributing them to the appropriate individuals.

Facilities management

  • Assisting the Facilities team with any office moves.
  • Assisting in any refurbishment or renovation works where required.
  • Assisting with fire alarm, emergency lighting or PAT tests where required.
  • Assisting our Facilities team with warehouse organisation duties.

Front of house

  • Covering on reception where required, including taking calls from the switchboard and transferring them to the appropriate individuals.
  • Preparing meeting rooms and ensuring that all requirements are met, alongside our in-house IT team.
  • Serving refreshments and ensuring that meeting areas are kept clean and tidy.
  • Working with the Reception team to ensure that the main reception area remains presentable at all times.
  • Ensuring that service standards are maintained in line with our Client Charter.

You will:

  • Be IT-literate and able to adapt to learn new IT systems quickly.
  • Possess a high standard of service, accuracy and numeracy skills.
  • Be highly-motivated and genuinely add value to the role.
  • Take ownership and demonstrate the ability to ‘get the job done’.
  • Be a team player and be able to develop and maintain working relationships with colleagues.
  • Be able to deal with highly confidential matters in a professional manner.
