The File Closing & Administration Assistant is responsible for assisting fee-earning departments with administrative tasks including volume file closing. Working alongside the Administration department and reporting to the Office Services Manager, you will be seconded to legal departments as and when required. Key tasks include file closing, processing internal and external post, scanning, photocopying and reception/switchboard cover.

Key Responsibilities

  • Assist fee-earning departments as required with file closing.
  • Assist our fee-earning department with admin tasks where required, this includes opening & closing files, filing, formatting documents & scanning.
  • Support postal functions for the admin team as required. This includes sorting and distributing external and internal post, delivering internal post, operating the franking machine and preparing evening post ready for collection.
  • Photocopy documents for fee-earning departments.
  • Answer internal telephone calls and receive faxes for the administration team and fee-earning departments.

Ad Hoc Tasks

  • Cover reception and switchboard duties as required by the Facilities and Office services Manager.

You will:

  • Have proficient IT skills;
  • Be able to communicate at all levels within the team;
  • Possess good listening skills;
  • Be able to prioritise workloads;
  • Be able to remain polite and professional at all times; and
  • Be able to use your own initiative.
