An exciting opportunity has arisen for a self-motivated legal secretary to join our busy and expanding Commercial Property team.

We are seeking to recruit a motivated, client-focused and friendly property secretary who is looking for an exciting but challenging opportunity.

Our Property team has an enviable client base and we expect the successful candidate to have excellent career progression opportunities within the team.

The team’s work covers a wide range of property matters from commercial and residential site acquisitions, commercial and residential development, funding arrangements and agreements, planning and infrastructure agreements, joint ventures and options, commercial leases and general landlord and tenant advice. We also have education sector specialists within the team who act for a number of schools, universities and further education establishments, as well as partners who deal with agricultural transactions.

The successful candidate will work for our Property team, carrying out the full range of legal secretary duties together with a variety of administrative tasks involving a high level of client contact.

Your role will include:

  • Preparing from dictation, verbal or written instructions correspondence and documents as required.
  • Completing filing on a daily basis.
  • Opening files in accordance with departmental and firm-wide procedures.
  • Closing and arranging storage for client matter files.
  • Requesting closed client matter files to be returned from storage as and when required.
  • Preparing mail and ensuring that any enclosures required are attached.
  • Arranging for all photocopying to be completed within the required timeframes.
  • Making appointments, arrange meetings and to maintain the diary for his/her fee earners.
  • Ensuring that any meeting rooms required are booked as necessary, arrange for any refreshments required and arrange for the tidying and clearance of the meeting room at the end of the meeting.
  • Attending clients both in person and on the telephone, providing support in a professional and friendly manner in keeping with the firm’s standards for client care and confidentiality.
  • Drafting legal documentation under the direction and supervision of the fee earners that you are working for.
  • Sending fax communications as and when required.
  • Ensuring that at all times the highest levels and standards of client care are maintained throughout the department and to assist with the taking of telephone calls for other secretaries or fee earners in their absence.
  • Assisting with the workload of other fee earners within the department or office if requested.
  • Undertaking other tasks or duties that are within your level of competency

You will:

  • Have at least 12 months previous experience of working as a family law PA/legal secretary
  • Be engaging, client-focused, have excellent communication skills and have the ability to quickly build a rapport
  • Have a proactive, hardworking approach to your work
  • Be able to meet deadlines
  • Enjoy working as part of a team in a highly-focused but friendly and supportive culture
  • Be very comfortable in using a variety of IT software packages including the Microsoft Office suite
