Receptionist/Telephonist (maternity cover)

Join our Administration team on a temporary basis as a receptionist/telephonist.

We are looking for an experienced receptionist or call handler to join our dynamic Administration team on a maternity cover basis, providing face-to-face, telephone and email support to our clients, suppliers and guests.

No two days will be the same in this dynamic working environment.

About the role

This role will be to provide support in both a receptionist and telephonist capacity. Below are lists of responsibilities for each of these roles respectively.

Receptionist

  • Greet clients and visitors in a professional, client-focused, efficient and friendly manner
  • Provide information to clients and visitors in accordance with firm-wide standards, policies and procedures
  • Take messages and ensure that these are passed on to the relevant member of staff within the required time-frames
  • Monitor visitor access and maintain security and confidentiality awareness at all times
  • Ensure that you have knowledge of staff movements in and out of the firm (where appropriate/required)
  • Provide refreshments
  • Ensure that any refreshments are cleared away at the end of meetings
  • Receive and sort mail and deliveries as they come into Reception throughout the day in accordance with the firm’s policies and procedures
  • Receive payments from clients and cash handling
  • Where appropriate copy original ID documents and ensure that these are sent to the relevant department/fee earner
  • Arrange deliveries via external couriers
  • Make meeting room bookings
  • Organise catering requirements
  • Follow our procedures in the event of an emergency situation arising
  • Monitor and maintain equipment and supplies required in the reception area
  • Keep the reception area tidy and professional at all times

Telephonist

  • Answer all external calls in a confident, courteous and polite manner regardless of the nature of the call
  • Be aware on a daily basis of all information that may be relevant or needed to be given to external or internal callers
  • Take messages and ensure that these are passed on to the relevant member of staff within the required time-frames
  • Ensure that you have knowledge of staff movements in and out of the firm (where appropriate/required)
  • Follow our procedures in the event of an emergency situation arising

Carry out any other duties associated with the above-mentioned job roles or undertake other duties from time to time as we may reasonably require within any other department of the firm.

You will:

  • Have at least 12 months’ recent receptionist/telephonist experience working in a professional office environment
  • Be able to demonstrate your commitment to the provision of and your ability to provide the highest standards of client service and care
  • Have excellent keyboard and Microsoft Office skills
  • Be able to communicate at all levels
  • Possess good listening skills
  • Be able to prioritise workloads
  • Be confident in following emergency procedures
  • Work well as a team
  • Be able to remain polite and professional at all times, even in potentially difficult or distressing situations
  • Be able to use your own initiative
